Reversing general and trust checks

 

Simplified menu - Click Daily Activities, Write General Checks or Write Trust Checks

Standard menu - Click Disbursements, Write General Checks or Trust, Write Trust Checks

Classic menu - Click Posting, Firm Checks or Trust Checks

 

Follow these steps to reverse (or void) a general or trust check.  This procedure is not the same as clearing a check that has cleared the bank.

 

If your system uses passwords, only those users with user level 1 - Administration can reverse checks.  Users assigned other user levels will be unable to view or select transactions to reverse.  If your system does not use passwords all users will be able to reverse checks.

 

You cannot reverse a check if it has been cleared, if it was entered using Input Old Checks, or if it was entered for a client/matter that has been closed.

  1. Select Reverse, and select the Bank account number the check was entered for.

  2. Select the original Check or Reference number.

  3. Enter the Transaction date on which the check is to be reversed.

  4. The original payee and amount will display automatically.

  5. Click Save image\save20x20.gif, then click Post image\done16x16.gif.

 

If the check has been billed, you will be unable to select the original check or reference number in the reversal screen.  To reverse a check if the check number is not displayed, follow these steps instead:

  1. Select Enter on the check screen, rather than Reverse, and enter the original check or reference number and the date on which the check is to be reversed.  

  2. Distribute the check to the same clients/matters or general ledger accounts as the original.  

  3. Enter a negative amount in the Amount field.  

  4. Click Save image\save20x20.gif, then click Post image\done16x16.gif.

 

Tip:  You can also use this procedure to reverse a partial amount.  Enter a regular transaction without selecting Reverse, and enter the partial amount as a negative number.  Use the original check or reference number, and ensure the check is distributed to the original clients/matters or general ledger accounts.
